Description: Job Summary:
Assistant to the CEO is responsible for providing comprehensive support to the CEO. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The ideal candidate is organized and an expert communicator who is able to anticipate the needs of the CEO. We are looking for someone who can maintain a high level of integrity, has a can-do attitude, and is able to take ownership of a task to drive it to completion with little direction.
Essential/primary responsibilities
•Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff ,clients and outside parties.

•Provide sophisticated calendar management for CEO. Prioritize inquiries and requests; make judgments and recommendations to ensure smooth day-to-day engagements.
•Complete a variety of administrative tasks, including but not limited to process invoices, take meeting notes and identify action items, plan and manage complex international and domestic travel arrangements, manage and track expenses, complete/approve expense reports, proofread documents, and maintain contact lists.
•Provide occasional personal assistant support to the CEO, e.g., make personal appointments, assist with medical claims, assist with personal travel, and assist with personal projects & purchases.
•Conserve the CEO time by reading, researching, collecting and analyzing information as needed, in advance.
•Manage information flow in a timely and accurate manner.
•Answering phone inquiries, directing calls, and providing basic company information.
•Manage emails, letters, packages, phone calls and other forms of correspondence.
•Maintains a system for recording expenses and the use of petty cash.
•Provide event management support.
•Performs other related duties as assigned.


Secondary Responsibilities
•Manage all aspects of organization’s office services.
•Evaluate and assist in developing office policies and procedures for improved work flow and anticipate future needs as organization grows.
•Participate in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
•Perform operations including purchasing, property inventory, building equipment and disposal.
•Track stocks of office supplies and place orders when necessary.
Qualification/Requirements
•A minimum of First Degree and 2 years’ experience as executive assistant, personal assistant or relevant role.
•Advanced skills in communication, especially written, in professional English and Amharic, electronic and manual (e.g., official letters, memos).
•Proficiency of Google Apps (Drive, Docs, Slides, Sheets).
•Highly proficient in MS Office applications, including Word, Excel, PowerPoint and Outlook.
•Energetic and eager to tackle new projects and ideas.
•Professional demeanor and attitude.
•Familiarity with office organization techniques
•Trustworthy, able to respect confidentiality.
